GENERAL TERMS

These are the general terms and conditions for participants of the Vietnam Lindy Exchange, hereafter referred to as “VLX.” If you do not agree with these terms and conditions during registration, you will not be able to attend the VLX.

PAYMENT TERMS

1. Fill out the registration form. This records your request for a VLX pass only.

2. You will receive a registration acknowledgement email. Please do not make any payment at this time.

3. When a place becomes available, we will send you an email with payment instructions.

4. Once you receive the instructions, please follow them and complete the payment to secure your place. If payment is not received by the specified deadline, your booking will be automatically cancelled and the spot will be offered to another participant. You will need to re-register if you still wish to attend.

5. You will receive a receipt and a confirmation email once we have received your payment.

VLX passes are valid for the registered person only.

The attendee is responsible for any bank transfer fees.

Payment methods

Group registration. We work with trusted people in each country who help us collect fees locally. Your group can pay to the account we appoint in your local currency, or send the fee via Wise to our Vietnam account. Full details are included in your confirmation email.

Individual registration. Individual passes are paid through our partner Megatix, where you can choose your preferred method — bank transfer, MoMo or credit card — each with a different processing fee applied.

CANCELLATION & PASS TRANSFER POLICY

VLX does not offer refunds. However, we do allow pass transfers.

If you can no longer attend, you may transfer your pass to another person.

March 8th, 2027 is the final day we can process any pass transfer.

Because of increasing online scam cases, we strongly advise you not to post your pass transfer publicly in the VLX Facebook group. Instead, please look for someone within your own dance community, or contact us and we will try to help.

1. Self-Transfer (no fee)

Deadline: March 8th, 2027

If you have already found someone to take your pass, please email info.thevlx@gmail.com with the subject line: VLX Pass Self Transfer Request – Your Full Name

Your email must include:

• Your full name (as used in the registration form)
• Full name and email address of the person taking the pass (We will contact them directly to collect their registration details.)

There is no fee for a self-transfer.

2. If you cannot find someone

If you cannot find someone to take your pass, email us and we will connect you with someone who is looking for a pass — for example, from our waiting list.

Once we have introduced you, the two of you finalise the payment directly with each other. When that is done, both of you email us by March 8th, 2027 so we can process the transfer details.

Email info.thevlx@gmail.com with the subject: VLX Pass Transfer Request – Your Full Name, including your full name (as used in the registration form).

3. Force Majeure Clause

In the event of circumstances beyond our control—such as pandemics, epidemics, public health emergencies, natural disasters, extreme weather, war, political unrest, government restrictions, or other force majeure situations—the VLX reserves the right to cancel, postpone, or adjust the event format.

Should such a situation occur:

• The VLX may retain a portion of the pass fee to cover non-recoverable administrative or operational costs already incurred.
• We will always attempt to offer fair and reasonable alternatives to minimize loss for all parties.
• If the event is cancelled or postponed due to force majeure, participants will be offered the option to transfer their pass to the rescheduled date.

EVENT CANCELLATION

In the unlikely event that VLX 2027 cannot go ahead for reasons other than those in the force majeure clause above — for example, if we do not receive enough registrations to run the event — we may decide to cancel it. If we do, we will make that decision and announce it by November 2026.

In that case, all pass payments will be refunded. Refunds are processed through a suitable payment gateway, minus any processing fees already incurred (for example, card or platform fees). We will email every registered dancer with the refund steps and timing.

We would only cancel if it were truly necessary — but we want to be upfront about it.

CODE OF CONDUCT

The Vietnam Lindy Exchange is dedicated to providing a safe and enjoyable social dance experience for everyone, regardless of dance ability, background, gender, gender identity or expression, sexual orientation, disability, physical appearance, body size, race, age, religion, or any other characteristic. Harassment of any kind will not be tolerated. Individuals violating these rules may be removed from the venue at the discretion of the organizers.

No inappropriate gestures, hand signs, or unwanted contact will be tolerated. The organizers reserve the right to report incidents of inappropriate behavior to other event organizers.

If you choose to drink alcohol, you are expected to do so responsibly, and you must not drive. Please approach an organizer if you need help arranging transportation. If you become excessively intoxicated or behave in a way that endangers yourself or others, you may be asked to leave the venue.

The VLX reserves the right to decline registrations or refuse entry at any time, including if false information was provided during registration or if you violate Vietnamese law.

We appreciate your support in keeping our events welcoming and safe for everyone.

CHANGES

The organizers reserve the right to change the time or location of evening dances. Any changes will be communicated on the website and/or the official social media pages.

CAPTIONS (PHOTOS & VIDEOS)

A photographer and videographer may be present at the VLX.

By purchasing a ticket and attending the event, you consent to being photographed or filmed. These materials may be used for marketing purposes on printed or online media.

If you wish to have a VLX-posted photograph removed, please contact info.thevlx@gmail.com.

PRIVACY

Your personal information will never be shared with third parties.

We will contact you only in relation to the event, primarily via email, to provide relevant information and registration updates.

However, the organization cannot be held responsible for the integrity or privacy of emails transmitted through external servers on the internet.

INJURIES AND THEFTS

Dancing is a physical activity and carries inherent risks of injury or death. By registering for the VLX, you agree not to participate in activities for which you are not physically fit. The VLX organizers and team members are not responsible for any injuries, death, or damage to/loss of personal property occurring during the event.

Please avoid unsafe dance moves and be respectful of other dancers on the dance floor.
